Announcement rules

Recording announcement rules control whether call participants are notified that the call is being recorded. They operate on top of recording rules: recording rules decide whether a call is recorded; announcement rules decide whether participants are told about it. If the recording rules decline a call, no announcement is played.

Where: Administration › System › Recording Announcement Rules — the same four-tab structure as recording rules: Settings, Custom rules [before], Auto rules, Custom rules [after].

Flag-gated feature

The menu item and the per-tenant announcement settings appear only after you select Allow for the recording announcement configuration in Administration › System › Advanced Settings.

How the announcement is delivered depends on the phone platform. For example, with Microsoft Teams, MiaRec only triggers the notification through Teams APIs — the recording banner in the Teams client and the audio message played to PSTN participants are controlled by Microsoft Teams itself. Rule levels and evaluation order

Announcement rules mirror the recording-rule hierarchy. The first match wins:

  1. Custom rules [before] — exception rules, evaluated first.
  2. User auto rules — from the Recording announcement setting on the user profile (Always / Never / Default).
  3. Tenant auto rules — from the Recording announcement setting on the tenant profile (Always / Never / Default).
  4. Custom rules [after] — rare.
  5. Default rule — the system-wide fallback: Announce or Do not announce, set on the Settings tab via Edit Configuration.

The user- and tenant-level actions are configured on the user and tenant profiles (Recording Settings section); the Auto rules tab shows the resulting rules read-only.

Per-user announcement settings

By default, user profiles do not show an announcement setting. To expose it for a tenant, enable Per-user announcement in the tenant profile's Recording Settings section; the Recording announcement setting then appears on that tenant's user profiles.

Custom rules

Custom announcement rules define exceptions — for example, announce external calls only. Click Add on the Custom rules [before] tab and define the Tenant, a Condition (match criteria on call attributes or platform-specific metadata), and the Action (announce or not).

Avoiding false announcements

By default the recorder evaluates recording rules only after media arrives, so participants can hear an announcement for a call that the rules ultimately decline to record. Enable Early check of recording filters (see Recording rules) so the record/no-record decision is made before the announcement is triggered.
